ADMINISTRATIVE ASSISTANT
DEPARTMENT: SALES & HOSPITALITY
Summary:
As an Administrative Assistant, you will be responsible for providing administrative support to ensure the efficient operation of the office. You will support managers and employees through a variety of tasks related to organization and communication. You will communicate via phone and email ensuring that all administration tasks are completed accurately and delivered with high quality and in a timely manner. The position is Part-time and requires availability to work weekends, special events, and some evenings.
Administrative Duties:
Answer and screen telephone calls in a professional and timely manner.
Take accurate messages with a high degree of professionalism and courtesy.
Perform general clerical duties including filing, photocopying, mailings, editing & proofreading, and meeting coordination.
Process monthly birthday and anniversary cards for staff.
Maintains staff roster and distributes updates as needed.
Process donation requests and create gift baskets as needed.
Responsible for transportation reservations
Take reservations for large group tastings, tours, and events via phone, email, Tock, and PureChat.
Oversee the distribution and tracking of the 2 for 1 program.
Oversee the redemption and tracking of Groupons
Maintain equipment inventory list.
Backup cashiers as needed.
Perform other duties as assigned by the Directors.
Job Requirements:
Demonstrates strong verbal and written communication skills.
Proficient in advanced level MS Word, Excel, PowerPoint, and Outlook.
Proficient in proofreading, spelling, and grammar.
Understands and maintains confidential executive information.
Must be able to adapt to a fast-changing work environment and multitask.

Prior, relevant office administration experience.
Education Requirements:
Requires High School diploma. Minimum of two-year college degree preferred, or equivalent experience.
Physical Requirements:
Ability to communicate in a clear, understandable speaking voice, by telephone and/or in person.
Ability to work in standing or sitting positions for extended periods of time.
Ability to lift and carry 45 lbs (case of wine) repeatedly.
Ability to climb stairs and perform physical labor at times.
